With organizations, a single Beekast account can belong to several organizations. You log in once and move from one to another without changing accounts. At any given time, only one organization is active: it's the one you're working in, whose sessions you see, and where your role and current plan apply. Your role and permissions can differ from one organization to another.
Understanding organizations and the active organization
An organization is the space that brings together your members, your sessions, and your plan.
You can be a member of several organizations with the same account.
Only one organization is active at a time. The content displayed (sessions, members, billing) depends on the active organization.
Each organization has its own name.
Your personal space appears as "{your name}'s space".
Your role is specific to each organization: you can be an owner in one and a regular member in another.
Switching between your organizations
You switch organizations from the profile menu, in the bottom-left corner of the Beekast home space.
Open the profile menu: the active organization is displayed there.
Choose the organization you want to work in.
If you have more than 10 organizations:
Click the organization switcher to open the list.
Search or sort your organizations, then select the one you want to activate.
From this same window, you can also Manage an organization or Create a new one.
A role badge and the organization's avatar remind you at all times where you are and with which permissions.
Creating a new organization
Creation is self-service, through a multi-step wizard.
Step 1 – Name: give your organization a name.
Step 2 – Plan: choose a free or premium plan, with a monthly or annual billing cycle. For a premium plan, payment is built into the wizard.
Step 3 – Invitations: invite your team directly from the wizard. The number of licenses required is calculated automatically and the invitations are sent.

You become the owner of the organization you create.
The number of seats can be chosen at checkout, depending on the plan.
Managing an organization's settings
Organization settings are grouped in a dedicated space, with several tabs. You can access by clicking on the icon on the right of the organization.
Information: organization name and general information.
Subscription: details of the current plan.
Access / members: managing people and their roles.
Single Sign-On (SSO / SAML) is available from the Enterprise plan and up, and is not available in self-service.

Managing members: invite, change roles, remove
Members are managed from the organization's settings.
Invite one or more users.
Change roles individually or in bulk.
Remove a member from the organization.
From a PRO plan and up, when you remove a member or downgrade them to a "guest" role, Beekast offers to transfer their sessions to another recipient, so that nothing is lost.
💡Good to know
The recipient of a session transfer must be a licensed member of the organization (neither a guest nor a member of another organization).
Some bulk role actions may be limited depending on the plan.
Copying sessions to another organization
You can copy your sessions from one organization to another, only if you are the owner of the session AND the owner of the organization where the session is located.
To copy a session from one organization to another:
Click the 3 dots next to the session title.
Click Copy to an organization.

Copying respects the limits of the destination organization.
A monthly quota applies to free plans.
Seats, licenses, and billing
Billing and usage are managed at the level of each organization.
Seats: choose the number of licenses at checkout; licenses are attached to a Beekast account. You can add or remove licenses, and billing will be adjusted accordingly at your subscription's next renewal.
Usage statistics: track your monthly usage (sessions, participants, slides) from your profile.
Scheduled changes: upcoming subscription changes (including seat variations) are detected and displayed.
License release: warnings notify you before you release or unassign a license.
What happens when a subscription changes?
In the event of a cancellation, downgrade, reduction in the number of licenses, or payment failure:
Warning emails are sent in a staggered manner to the owner of the downgraded/cancelled account.
The owner can take action by transferring the sessions to a licensed member of the organization.
During a downgrade, you can choose the number of seats to keep (as the owner or administrator of the organization).

If no action is taken, the affected sessions are removed from their owner.

Can I belong to several organizations with the same account?
Yes. A single account can be a member of several organizations. You switch from one to another from the profile menu.
How do I know which organization I'm working in?
The active organization is displayed in the profile menu, with its avatar and a badge showing your role.
Is my role the same across all my organizations?
No. Your role and permissions are specific to each organization.
How do I create a new organization?
Through the creation wizard (name, plan, invitations), accessible from the organization switcher in the profile menu.
Can I move a session from one organization to another?
Yes, with the "Copy to an organization" action, within the limits of the destination organization. This is only possible if you are the owner of the session and the owner of the organization the session belongs to.
What happens to the sessions of a member I remove?
When you remove or downgrade them, Beekast offers to transfer their sessions to another licensed member, from a PRO subscription and up.
What happens if I change or cancel my subscription?
A grace period opens, with warning emails. You can transfer the affected sessions before the deadline. Without action, these sessions are removed from their owner at the end of the period.
