Access your sessions

How do you find and manage all your Beekast sessions?

Once logged into your Beekast account, you'll access the Homepage, where you'll find all your sessions as well as the sessions you've participated in.

You'll find the following options:

1- The button to create a new session.

  • A new session

  • A Master session

  • Improve a session with Pollen. Please check our Pricing page.

  • Duplicate a session using the import code.

2- To join a session with the 6-digit code.

3- If you haven't created a session yet, you can start straight away by choosing one of our 15 activities.

4- You can see the most recently consulted sessions.

5- Some premade session templates.

Folders

For efficient management of your sessions, you can create up to 50 folders by clicking on + Create a folder, then naming and creating the folder.

  • To access a folder, simply click on its name.

  • To move a session to another folder, click the three dots next to the session and choose Move to.

Your session's information

Once you're in the folder of your choice, you'll find all the sessions organized in this space, along with the following information:

  1. The multiple selection box.

  2. The name of the session.

  3. The date you last accessed the session.

  4. Your role in this session (Owner, Collaborator, Participant).

  5. The type of scrolling (Synchronous or Asynchronous).

  6. The accessibility status of a session: Open (accessible to participants) or Closed (inaccessible to participants).

  7. A space to add additional notes.

You can view all your sessions as a list, sorted by the different categories shown in the columns.

My participations

A participant space to easily join a session with your code and find your previous participations.

Possible actions on a session

To the right of each session, you'll find 3 small dots that give you access to certain actions for that session. The actions available depend on your role in the session.

1. As the Owner:

  • Rename the session.

  • Close/open the session.

  • Duplicate it.

  • Copy the import code.

  • Add a tag (to organize sessions).

  • Move to another folder.

  • Delete the session.

2. As the Collaborator:

  • Rename the session.

  • Close/open the session.

  • Duplicate it.

  • Copy the import code.

  • Add a tag (to organize sessions).

  • Move to another folder.

💡Good to know

Deleting a session remains an exclusive feature of the Owner.

3. As the Participant:

  • Add a tag to the session: this lets you filter your sessions view by category.

  • Move your session to another folder (within your own account).

  • Leave the session.

💡Good to know

If you leave a session on which you are a Collaborator, you won't be able to access it anymore. The only way to access it again is to be invited back (via the public link or the session code). Either way, you keep your Collaborator role, so you'll be able to host it, edit it, and so on once you have access again.

Your information

By clicking on your profile at the bottom left, you have access to several buttons:

  • My account: to access all your personal information.

  • Log out: to log out of your Beekast account.

  • Language: to change the language of your Beekast interface.

By clicking the bell in the top right corner, you'll see your action and decision notifications.

The Trash

From the Trash, you can retrieve your sessions deleted in the last 30 days. After this period, they are automatically deleted.

How many folders can I create in my My Sessions space?

You can create up to 50 folders to organize your sessions.

How do I move a session to another folder?

Click the three dots next to the session, then choose Move to.

Who can delete a session?

Only the Owner of a session can delete it. Collaborators don't have access to this action.

How long do I have to recover a deleted session?

Deleted sessions stay available in the Trash for 30 days, after which they are automatically erased.

What happens if I leave a session as a Collaborator?

You won't be able to access it anymore unless you're invited back (via the public link or the session code). You'll keep your Collaborator role.

How do I access my account information?

Click on your profile at the bottom left of the screen, then click My account.

What are the different roles possible in a session?

Owner, Collaborator, or Participant.
