Master & Clone session

Info
For whom? For our customers with an Enterprise pack

Beekast’s new feature will simplify the management and analysis of your training sessions!

What is it?

This new feature allows you to create a “Master” session to share and adapt with as many facilitators as you wish within your organization. Each animator independently leads these “Clone” sessions, and your results will appear automatically on your “Master” session’s dashboard.
It is easy to create a template session that your facilitators can adapt endlessly while viewing and analyzing individual participant’s data on one Dashboard.
Facilitators cannot modify the Clone sessions, you create then a template over which you keep control.
Thanks to a global Dashboard bringing together all the data from the different sessions and offering filters, you can keep a close eye on the results and carry out advanced analytics.

InfoAll Cloned sessions will inherit the sliding control mode chosen for the Master session. This setting cannot be altered after selection. If you wish to modify the way slides are advanced, please consult the following article for detailed instructions.

Once your session has been created:
  1. Choose the identification mode for the session,
  2. add activities,
  3. import your presentations
You can add a co-owner to your session, who will have the same rights as you: add content, share the session, export the results, display the results on the Dashboard, etc. It is possible to add as many co-owners to your session as you wish to help you create it.

Alert
The co-owner must be part of your organization (pack) to have access to the session.
Once your session is created and all your activities set, you can generate the import code of the session, so that your facilitators can create the Clone sessions.

2 - Generate and communicate the import code to create the Clone sessions

To create Clone sessions from a Master session it is necessary to:
  1. Either communicate the import code of the Master session
  2. Or adding facilitators to your Master session
Alert
Once you share the Master session, i.e. a Clone session has been created, it is not possible to modify it anymore. Be sure to finish the creation of the session and its settings before communicating the import code.

The import code
To generate the import code of your Master session, you have two possibilities:
- Click on the “Share” button, in the top right corner of the session:

- OR click on the “Settings” icon, on the upper right part of the session’s page:

In the “General” tab, you'll find the import code, which will initially be blurred:

Once the code has been generated, you can pass it on to the collaborators who will be running the Cloned sessions.

Add facilitators:
To add facilitators to your Master session, click on the “Share” button at the top right of your session

Click on “+ Add” in the “Emails” section and enter the emails of your colleagues for whom you want to create a Clone session.

They will then receive an email invitation to join the session and a Clone “[copy]YOUR SESSIONS TITTLE” will automatically be created in their workspace.

3 - The creation of Clone sessions

Once the owner of the Master session has added facilitators to their session, Clone sessions are automatically created in the hosts' workspaces.

If a Clone session is created using the import code:
Provided with the import code for the Master session, the facilitator goes to their Beekast workspace, clicks on “Import a session” and enters the import code for the Primary session.

The Clone session will be created in the facilitator’s workspace with a “[copy]” mentioned previously in the title. We recommend you modify the Clone session’s title. The Clone session created is an exact copy of the Master session. The facilitator can’t change the content, the order of slides, or any setting within the session, neither can open nor close it. They will only lead the Clone session with participants, inviting them to join the session via the public link or the session code.

Leading Clone sessions

The leading of a session is done as for a “normal” session, depending on the sliding control mode chosen. The owner of the Clone session will be able to go through slides, communicate the public link, or the 6-digit code, and make the session available to participants.

The Dashboard

Once the Clone session is finished, the results will automatically be added to the Master session Dashboard immediately. Multiple possible analysis filters: global analysis, by activities, by session, by participant…
