FAQ Getting Started with Beekast

Everything you need to get started with Beekast, host your sessions, and manage your activities.

This FAQ brings together answers to the most common Beekast questions, whether you're just getting started or looking to go further with managing your sessions.

What is Beekast?

Beekast is a web platform that supports you day-to-day in creating, hosting, and following up on your meetings and training sessions. The activities on offer are easy to pick up and to deploy.

I'm not registered on Beekast yet; how do I create an account?

  • Enter your email address, then click Continue.

  • The account creation form then appears so you can add a password and your first and last name.

  • You can also create your account through a social network: Google or Microsoft.

How long do I have to validate my email address?

You have 7 days after creating your account to validate your email address. After that, you will no longer be able to access your sessions. You will then need to log back in to your account, resend the confirmation email, and click the link you receive by email.

I can't find the Beekast app on the App Store/Google Play Store. How do I find it?

Beekast is a web application: it does not exist on the App Store or the Google Play Store. There's nothing to download or install.

  • To create an account or log in: go to my.beekast.com from a browser (Google Chrome, Mozilla Firefox, Safari, Microsoft Edge, etc.).

  • To join a meeting: go to beekast.live and enter the session code.

How do I join a Beekast session?

To join a Beekast session, the organizer needs to share the session code with you.

What is a session code?

A session code is a unique code that lets people join a session. It is automatically generated when the session is created, and it's visible from the Share button of the session, at the top right.

How do I get the link or access code of my session and share it with participants?

  • Click Share at the top right of your session.

  • You'll find your session's public link there: copy it using the Copy button on the right.

  • The session code is a unique 6-digit code, automatically generated when the session is created.

With the session code, each participant needs to go to my.beekast.com and enter the code at the top of the page to access your session.

What is a session owner?

The owner of a session is the person who creates the session through their Beekast account. They can administer it alone, co-manage it, or delegate this task to a collaborator.

What is a collaborator?

A collaborator is someone chosen by the session owner to help manage the session. They can edit slides, move through them, start and close activities, and moderate messages on the message wall.

How do I add a collaborator to my session?

Premium feature.

  • Go to Configure, at the top left of your session, in the Collaborators section.

  • Enter the email address of the Beekast account of the person you want to add. Your collaborator must have a premium Beekast account in order to facilitate your session.

  • You can also click Share and follow the same instructions to add collaborators to your session.

Adding and managing your activities

How do I add files to my presentation?

  • Click Add a slide.

  • Click Presentation.

  • Choose the file type to import: PDF or PowerPoint.

  • Select your file and validate.

Your PDF file will be split into independent slide sequences. Your PPT files will be converted into static images; their original animations will therefore not be kept. The maximum file size you can import depends on your subscription.

How do I create an activity?

  • In your session, click the Add a slide button at the top left.

  • Click the activity you want to add.

  • Saving is automatic.

How do I edit an activity?

Two methods are possible:

  • Select the activity in the activities and slides list on the left of the screen, then click the pencil icon. The slide also gives you access to duplication and deletion.

  • From the viewer, via the Organize button at the bottom left of the session, click the pencil Edit icon to modify the activity's content.

How do I reset an activity, or just its results, without deleting it?

  • Click Reset at the top right of the slide. For some activities.

  • A message appears asking you to confirm the reset.

Resetting permanently deletes the results obtained (the participants' entries), but the activity's content is kept: title, description/instructions, questions, answer choices, added images.

Warning: once an activity has been reset, it is not possible to go back.

How long do I have to change the instructions for my activity?

For all activities, the title and/or instructions can be changed at any time, even if answers have already been recorded.

There are however, some constraints depending on the activity type:

  • Assessment activities: if the activity has already started and contains answers, only the title and instructions remain editable. To change the answer choices or the points awarded for the correct answer, you need to reset the activity (this deletes the entries).

  • Challenge activity: the owner can always change the title and instructions, the question header, and the explanations added at the end of each answer. However, they can no longer change the answer choices or the points awarded for correct answers once the activity has started.

If the activity hasn't started yet, all of its settings can be changed: it's the participants' answers that lock certain elements once the activity has launched.

Can I add/remove columns to my Board afterwards?

Yes. With the Board activity, you can add or remove columns as needed, as your session progresses.

Projecting and hosting live

How can I project and moderate my session at the same time?

We recommend using Extended desktop, which lets you connect your computer to a second screen or a projector to project your session.

Your facilitator screen page is not visible to your participants. From this page, you can moderate the discussion space, move through slides, etc.

How do I display a message on the projection screen?

  • Go to the Messages tab on the right of your session.

  • Click the Project icon at the top right of the message you want to display.

Resetting and deleting

Can a session be reset?

Yes, a session can be reset.

  • Go to Configure at the top left.

  • Click the General section.

  • Click Reset session, then confirm by clicking Reset.

Warning: resetting deletes all activity data as well as the list of participants. Once a session has been reset, it is not possible to go back.

How do I delete a session?

  • On the home page or from the folder where the session is located, click the three small dots to the right of the session to erase.

  • Click Delete.

Only the session owner can delete it.

⚠️Warning: any deletion on Beekast is permanent.

I've already shared my session's link with my participants, but I don't want them to access it right away. How do I do that?

You may sometimes need to share your session's link well in advance, without wanting participants to go to it too soon. The trick is to close your session: you can still access it to keep preparing it, but everyone else will be informed that the session is not yet open.

Results and participants

How do I export the data collected during activities?

On the Results button at the top right of your session, you can generate:

  • a Report of your session in Word and/or PDF format;

  • or the Statistics in Excel format.

Click the document you want, then choose whether to download it to your device.

How can I see how many people are in my session, and who has answered my question?

Several methods are available:

  • The Participants button on the right of the session: in synchronous mode (facilitator-led progression) as well as in asynchronous mode (participant-led progression), the facilitator can track participants' progress from this space too.

  • An orange counter of people connected at the same time, at the top of the session.

  • For some activities, an option to display the number of participants live: once enabled, the counter is displayed at the bottom left of the activity's slide, with a grey icon representing a person.

How do I know who is in my session?

On the right of your Beekast interface, you'll find the Participants tab. It shows the full list of people connected to your session: in green, the people currently present; in grey, disconnected people.

Password

I've lost my password; how do I reset it?

  • On my.beekast.com, enter the email address of your Beekast account.

  • Click Forgot your password?.

An email requesting a password change will be sent to that address.

I still have access to my account; how do I change my password?

  • Log in to your Beekast account.

  • Click your account icon at the bottom left (your photo or your initials).

  • Click your name.

You can then change your password.

Access, security, and privacy

Who can access my session?

By default, anyone can access your session as long as it is open and they know the associated link.

Can I limit access to my sessions?

Yes. Beekast gives you several ways to choose who can access your session: password, restrictions by email...

Why are my participants named "Bold Hedgehog" or "Happy Unicorn"?

By default, a session is open to everyone, with or without a Beekast account. People without a Beekast account are automatically given a name: a combination of an animal and an adjective, and a session avatar.

Is it possible to ask for my participants' names?

Yes. You can ask your participants for certain required information, including their first and last name. These two fields let you identify them in your statistics, activities, and discussion spaces.

Is it possible to remove someone from my list of participants?

No. You cannot remove a person's access, nor remove them from your list of participants. If you notice the presence of an unwanted person in the session, we recommend setting up at least a password and sharing it only with the participants you want.

Does Beekast use my data?

No. Under our Terms of Service, your data belongs to you: we do not use it. Protecting your data remains your responsibility, using the means we make available to you.
